KissBook Pty Ltd ABN 30 689 550 525 (“KissBook”, “we”, “us”, “our”) is committed to protecting personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

This Privacy Policy explains how we collect, use, store, disclose, and protect personal information when you use the KissBook platform (“Platform”). It applies to two groups of people:

  • Operators — accommodation providers and operators who use the Platform to manage their business
  • Guests — individuals who make bookings through the Platform (directly or through a park operator)

By using the Platform, you consent to the practices described in this Policy.

2. Who We Are

KissBook Pty Ltd is a software company registered in Queensland, Australia. We provide an online booking management platform for caravan parks and campgrounds.

3. What Personal Information We Collect

From Operators

  • Business name, ABN, and contact details
  • Name, email address, and phone number of the account holder and staff users
  • Stripe account information (for payment processing — we do not store full bank or card details)
  • Billing and invoicing details
  • Park configuration data (site types, pricing, availability settings)

From Guests

  • Name, email address, and phone number
  • Booking details (dates, site, party size, vehicle details)
  • Payment information — card details are collected and stored by Stripe, not by KissBook
  • Communications and notes related to a booking

Automatically Collected

  • Browser type, IP address, and device information when you access the Platform
  • Usage data (pages visited, actions taken within the Platform)
  • Cookies and similar tracking technologies (see Section 10)

4. How We Collect Personal Information

We collect personal information in the following ways:

  • Directly from you when you register for an account, make a booking, or contact us
  • From park operators who enter guest information on a guest’s behalf (for phone or walk-in bookings)
  • Automatically through your use of the Platform
  • From third-party services such as Stripe, where you have authorised that service to share information with us

5. Why We Collect Personal Information

We collect and use personal information to:

  • Provide and operate the Platform and its features
  • Process bookings and payments
  • Issue invoices and manage billing
  • Send booking confirmations, receipts, and transactional communications
  • Provide customer support
  • Comply with legal and tax obligations (including Australian tax law, which requires us to retain financial records for at least 7 years)
  • Improve the Platform through usage analytics
  • Communicate with operators about the Platform, including updates, changes to pricing, and new features

We will not use personal information for any purpose that is unrelated to the above without your consent.

6. Disclosure of Personal Information

We may disclose personal information to:

  • Park operators — guest booking details are visible to the park operator who manages that booking
  • Stripe — our payment processing partner, for the purpose of processing card payments (see Section 7)
  • Email service providers — to send transactional emails such as booking confirmations and invoices
  • Hosting and infrastructure providers — our platform is hosted on servers in Australia
  • Legal and regulatory authorities — where required or permitted by law
  • Professional advisers — such as lawyers and accountants, where necessary

We do not sell personal information to third parties. We do not use personal information for targeted advertising.

7. Overseas Disclosure

Some of our service providers are based outside Australia. In particular:

  • Stripe, Inc. (United States) — processes card payments on our behalf. Stripe is certified to PCI DSS Level 1 and operates under its own privacy policy and applicable US privacy law.
  • Email service providers — may operate servers outside Australia.

Before disclosing personal information to overseas recipients, we take reasonable steps to ensure those recipients handle the information in a manner consistent with the Australian Privacy Principles. By using the Platform, you consent to your personal information being disclosed to overseas recipients as described in this section.

8. Data Security

We take reasonable steps to protect personal information from misuse, loss, unauthorised access, modification, or disclosure. Our security measures include:

  • Encrypted connections (HTTPS/TLS) for all Platform traffic
  • Restricted access to personal data based on role and need
  • Card payment data is handled entirely by Stripe — KissBook does not store card numbers, CVV codes, or full payment card details
  • Regular security reviews

No data transmission over the internet is 100% secure. While we take commercially reasonable precautions, we cannot guarantee absolute security.

9. Data Retention

We retain personal information for as long as necessary to provide the Platform and meet our legal obligations. Specifically:

  • Booking and financial records are retained for a minimum of 7 years in accordance with Australian tax law
  • Account information is retained while your account is active and for a reasonable period after closure
  • Usage logs are typically retained for up to 12 months

When personal information is no longer required, we take reasonable steps to destroy or de-identify it.

10. Cookies & Analytics

The Platform uses cookies and similar technologies to:

  • Maintain your login session
  • Remember your preferences
  • Understand how the Platform is used (analytics)

You can disable cookies in your browser settings, but this may affect how the Platform functions. We do not use cookies for third-party advertising.

11. Access & Correction

You have the right to request access to the personal information we hold about you, and to ask us to correct information that is inaccurate, out of date, incomplete, or misleading.

To make an access or correction request, contact us at hello@kissbook.com.au. We will respond within 30 days. In some circumstances, we may be unable to provide access (for example, where it would unreasonably impact the privacy of another person) — we will explain why if this is the case.

We may update this Privacy Policy from time to time. When we make material changes, we will notify operators by email and update the effective date at the top of this page. Continued use of the Platform after the effective date constitutes acceptance of the updated Policy.
